fosterTRACK Overview
This Web-based foster parent recruitment and retention application can be used by individual foster parent organizations or a collaborating group of organizations to track prospective and existing foster parents through licensure and re-licensure, including the required documentation, screening, trainings and Home Study process. fosterTRACK™ helps determine best practices in recruiting by tracking referral sources, ensuring timely re-licensing through the use of tickler reports and improving communication between parties involved in the licensing process.
fosterTRACK Features
Parent Information: Collect potential foster parents' information from the initial inquiry through licensure. Some items collected include:
- Basic Demographics
- Address
- Phone
- E-mail
- Other Household Information
- Referral Information
- Agency and Staff Assignments
- Preferences
Activities (Tasks): Schedule and record follow-up calls, orientations, consultations, home visits, etc. These items can be customized. Some items include:
- Due Date/Completion Date
- Task Owner
- Task Type
- Task Status
- Notes
Documents and Screenings: Track the status of required documentation and screenings. These items can be customized. Some items collected include:
- Date
- Document or Screening Type
- Status
- Notes
Home Study: Record Home Studies from completion through documentation and approval.
MAPP Training: Schedule and record each MAPP Training attended through certification.
In-Service Training: Track required continuing education training hours completed by licensed foster parents. Some items collected include:
- Training Date
- Training Type
- Credit Hours
- Status
Licensing Packet Tracking: Log the progress of a completed licensing packet from submission to the licensing agency through approval.
Significant Events: Document important events occurring in the foster home such as Adoption Finalization, Corrective Action Plans, Runaways, etc. These items can be customized.
Application: Record application information such as foster parents' race, language and whether or not they will accept children with special needs. Some information collected includes:
- Acceptance of Special Indicators
- Acceptance of Sibling Groups
- Agency Preference
- Specified Non-Relative Child
Licensing: Track every license issued to a foster parent for historical purposes. Some items collected include:
- License Type
- Effective Dates
- Capacity
- Status
- Closure Reason (if closed)
- Notes

Reports: Generate real-time reports with the most current available information entered into fosterTRACK™; standard reports can be generated with the most current available information. Some of the standard reports include:
- Activities - List of activities for a specified date range. Specific staff and/or foster parent can be selected.
- At a Glance – At-a-glance view of all foster parents and all their required documents, screenings, etc. Can be saved in Excel.
- Caseload - Count of foster parents by agency and staff. List of foster parents by staff.
- Closed Homes - List of all homes that close in a specified month.
- Count By City - Gives a count of foster parents by foster parent status and city.
- Home Visits - List of homes licensed and number of documented visits monthly and year-to-date.
- Re-licenses Due - List of all licenses due for re-licensing within a specified number of days by last name.
- Source of Referral - Count of all referrals grouped by Referral Source. Customized reports can be created.
Collaboration: Share general information and processes across many locations within your organization or across several different organizations in partnership with each other with a single installation.
